Daily closing and trial balance

Carries each day’s closing balance into the next automatically, tracks every payment whose receipt has not arrived, and builds the month’s trial balance from the daily entries so debits and credits always agree.

In short

A daily closing is the accountant’s record of a day’s money in and money out, ending in a closing balance. This tool takes your debits and credits with a short description, carries the balance forward, flags receipts and payments still pending, and builds the month’s trial balance from those entries. Your books stay in your browser.

How to use it

  1. Enter your organisation’s details and the opening balance of cash and bank once, in Settings.
  2. Each day, add money in on the Debit side and money out on the Credit side, with a short description and an account head.
  3. Flag any payment whose receipt has not arrived, or any money that has not cleared, with a follow-up so it appears on the Follow-ups list.
  4. Count the cash, enter it to see any difference, then close the day. The closing balance carries into the next day.
  5. At month end open Month and trial balance, check every day is closed, and download the trial balance or the full month-end pack as a PDF.

How it calculates

The book is a cash book: money in is a debit, money out is a credit. A day’s closing balance is its opening balance plus the day’s debits minus its credits, and a day’s opening balance is always worked out from the book’s opening balance and every earlier entry, so the days can never drift apart. The trial balance posts the opposite side of every entry to its account head, so debits always equal credits, and the closing balance of Cash and bank equals the month’s last daily closing. All sums are done in whole paisa.

In the sample book above, an opening balance of 2,50,000.00 plus 3,35,000.00 of debits minus 1,67,350.00 of credits gives a closing balance of 4,17,650.00. The trial balance shows Cash and bank at that same 4,17,650.00, and the debit and credit columns each total 5,85,000.00. The entries are made up; yours come from what you type each day.

Who should use it

  • Accountants and accounts clerks who prepare a daily closing for an institution, shop or small business
  • Madrasa, masjid and welfare accounts departments that keep a daily cash book and need a monthly trial balance
  • Anyone who pays vendors in cash and needs to chase the receipts that are still missing

Who should not use this

  • Organisations that need several users entering data at once or an audit trail of who changed what; this runs in one browser for one person at a time
  • Anyone who needs full double-entry accounting with many separate bank accounts, creditors and debtors; this is a cash book with a trial balance, not an accounting system
  • Anyone who cannot keep regular backups; the books live only in this browser until you download them

Limitations

  • Your books are saved in this browser on this device only. Clearing browser data or changing computer removes them unless you restore a backup.
  • Cash and bank are treated as one account. There is no separate bank reconciliation.
  • The trial balance is built from the entries you type and does not check them against vouchers, invoices or any tax or reporting rule.
  • A closed day is locked against changes until it is reopened; there is no record of who closed or reopened it.
  • The PDF is drawn with standard PDF fonts. Urdu or other non-Latin text cannot be drawn into the PDF yet; the entries still work on screen.
  • Nothing is uploaded or stored on a server. Clearing your browser data also removes the saved profile.

Common questions

Why is money in a debit and money out a credit?
Because the book is the cash account itself: cash received increases it (a debit) and cash paid reduces it (a credit). The trial balance then posts the opposite side of each entry to its account head, such as Water bill or Donations received.
How does the trial balance always agree?
Every entry is posted twice, once to Cash and bank and once to its account head on the opposite side, so total debits equal total credits in the opening, movement and closing columns. The page shows a check and flags any difference.
Where is my data stored, and can I move it?
In this browser on this device only; nothing is uploaded. Download a backup file from Settings and restore it on any computer or browser to carry on.
